Final Payments

Final Payments are required normally at 30 days prior to arrival, once each day you can search bookings for the next 30 day period, you will need to send the Final Payment Due for all guests without a payment having been made on any enquiry based, Expedia Hotel Collect and Direct Bookings. Please ensure you have the CC Boxes Ticked on the bottom of the email and the final payment amount entered into the CC Amount. In the case of Booking.com, you will charge the credit card at 30 days (or 14 Days exception dependent) without the need to send a final payment

To ensure accurate processing and not overlapping between Bank Deposit Payments, we allow the guests 5 days to place a bank deposit or advise us to debit the amount from their card, if we hear nothing and no payment appears (in which it would be receipted and notes attached), then we process the card anyway.

To search for the 25 days of unpaid bookings, please go to “Retrieve & Search” in Seekom and program the fields as follows, Sale Date: Today’s Date and Month with the Year showing 2009, Booking From Todays Date to 25 days time, Status: Confirmed and Booking Bal: Debit. This is essential to show only confirmed bookings for the next month with outstandings.


Don’t hesitate to charge the card unless there is notes in the booking or it is from a website who doesn’t need a card to be charged. If the CC Surcharge Extra has not yet been applied to the booking, please do so.

Process the payment through Paypal Virtual Terminal, then send the “Final Payment Received” letter appropriate for the property operator to the guest.

If the card declines send the “SSS – AUS - Final Payment Due Declined” email to guest.

NOTES:

If a guest calls up or emails in for a final payment to be taken outside of the normal terms, then take their payment through the standard method and send the Final Payment Received letter.

EXCEPTIONS:

For Signatures on Knuckey, Litchfield, Woods and at Parap if the rate for the property is the standard ie. SOW-2BR, then the deposit amount is to be taken at 14 days if booked through Booking.com or Expedia Hotel Collect.

If the rate is a Flexi Rate ie. SOW-2BR-FLEX, then the standard final payment policies apply.
